This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the DealHatch platform — our AI-powered negotiation intelligence service — and related services.

By using our services, you agree to the collection and use of information in accordance with this policy. We will not use or share your information with anyone except as described in this Privacy Policy.

Information We Collect

Personal Information

We may collect personally identifiable information that you voluntarily provide to us when you:

• Register for an account
• Use our negotiation intelligence services
• Contact us for support
• Join our waitlist

This information may include your name, email address, company information, job title, phone number, and other contact details.

Negotiation Data

When you use our AI negotiation services, we collect and process:

• Negotiation scenarios and contexts you input
• Communication templates and messages
• Strategy preferences and outcomes
• Performance metrics and analytics data

Technical Information

We automatically collect certain technical information, including:

• IP address and device information
• Browser type and version
• Usage patterns and feature interactions
• Log files and error reports

Some of this is collected in your browser. We use an error-monitoring service to capture crashes and a sample of performance timings, which records the page an error happened on and the account it happened under, so we can find and fix faults. It does not capture your deal content, documents, or messages. The provider is listed on our subprocessors page.

How We Use Your Information

We use the collected information for various purposes:

• Provide and maintain our AI negotiation services
• Improve and personalize your experience
• Send you service email — account and billing notices, the notifications you have enabled, and, if you joined our waitlist, your invite when a place opens
• Provide customer support and respond to inquiries
• Monitor usage and prevent fraud or abuse
• Comply with legal obligations

AI and Machine Learning

Our platform uses artificial intelligence to provide negotiation intelligence. We do not train AI models on your content. Here's how we handle your data in this context:

• We do not use your deals, documents, messages, or email content to train, fine-tune, or otherwise develop AI models — ours or anyone else's
• We send your content to third-party AI providers only to generate the output you asked for, on paid service tiers whose terms exclude customer content from model training. Your mail is never used to train generalized AI models
• An AI provider may retain what we send it for a limited period for abuse monitoring and to meet its legal obligations before deleting it. That retention is not model training, and we do not control its duration
• Your content is never used to generate output for another customer, and is never shared with other users
• The AI providers we use are listed on our subprocessors page

Data Sharing and Disclosure

We do not sell, trade, or otherwise transfer your personal information to third parties except in the following circumstances:

• With your explicit consent
• To trusted service providers who assist in operating our platform
• When required by law or to protect our rights
• In connection with a business transfer or acquisition

Data Security

We implement appropriate technical and organizational security measures to protect your personal information:

• Encryption of data in transit and at rest
• Encryption of third-party credentials you connect, such as CRM and mailbox tokens
• Access controls, role-based permissions, and authentication measures
• Each customer's data is isolated from every other customer's
• Periodic internal security reviews of the platform

No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Your Rights

DealHatch is offered to customers in the United States only, so the operative regime is the CCPA/CPRA. You have the right to:

• Know what personal information we collect, and why
• Access a copy of it, in a portable format
• Correct information that is inaccurate
• Delete it, subject to the limits described under Data Retention
• Opt out of the sale or sharing of personal information — we do not sell or share it, and we do not engage in cross-context behavioral advertising
• Limit the use of sensitive personal information
• Not be discriminated against for exercising any of these rights

You can submit an access, export, or deletion request from the privacy section of your account settings, or by contacting us using the details below. We will not discriminate against you for exercising any of these rights.

Data Retention

Some data is removed on a fixed schedule:

• Documents you delete are kept for a 90-day audit window, then permanently purged
• Email you do not approve for a deal is deleted automatically within 30 days
• Generated export files are removed automatically once they expire

Everything else — your account, deals, contacts, and the activity recorded against them — is retained for as long as your account is active, so the workspace keeps its history. You can request access, export, or deletion of your data at any time, and we may retain limited records where the law requires it.
